Many Brazilian workplaces value personal warmth and trust, but that does not mean the task is secondary. Greetings, brief conversation, and genuine interest help establish the conditions for efficient work. The balance changes by company, seniority, region, and meeting purpose.
Do not force intimacy. Use the name and register your counterpart uses, remain attentive to personal boundaries, and let familiarity develop through repeated interaction. Professional warmth is not the same as informality without permission.

Treat time as a system, not a stereotype
Do not assume deadlines or start times are flexible because the meeting is in Brazil. Clarify which dates are external commitments, internal targets, estimates, or preferences. Precision is especially important in cross-border work where holidays, time zones, and approval cycles differ.
Confirm the time zone in every important invitation. Brazil has multiple time zones, and teams abroad may shift with daylight-saving changes that Brazil does not mirror in the same way. Name the city or UTC offset when the cost of confusion is high.

Move important decisions into a written record

If a WhatsApp exchange changes scope or budget, move the conclusion into the system or email thread where the project is governed. Channel warmth should not weaken decision traceability.
