How to write professional emails in Brazilian Portuguese

A strong business email is clear about the action, respectful about the relationship, and easy to answer. Portuguese register matters, but structure matters even more.

Let the subject line do real work

A subject such as “Olá” or “Informações” forces the reader to open the message before knowing its purpose. Name the project, document, meeting, approval, or deadline. If an action is required, include it without making the line sound like an alarm.

Keep the subject stable when replying within the same decision thread. Start a new thread when the purpose changes. This small habit makes future search and accountability much easier.

Choose an opening that fits the relationship

“Prezado” and “Prezada” remain useful in formal first contact, official communication, or a context where distance is expected. “Olá, Ana” is common in many modern workplaces and can be fully professional. “Oi” may be natural within a familiar team but is not the universal default for a new client.

Do not make the opening more elaborate than the relationship requires. Long formulas copied from legal correspondence can make an ordinary request feel stiff. Match the tone used by the organization and the person you are writing to.

Write the request so it can be answered

Put the reason for writing in the first short paragraph. Then state the requested action, required format, and date. If there are several questions, number them. A reader should not need to infer whether you are sharing information or asking for approval.

Brazilian professional communication may include relationship-building language, but clarity is not rude. You can soften a request with context and courtesy while keeping the action explicit. Avoid vague phrases such as “quando puder” when a real deadline exists.

Close with the next step: whether you will wait, proceed with an assumption, schedule a call, or need a response before a specific time. The closing is part of project management.
